Institutional Sponsored Travel

The Clery Act requires institutions to report crime statistics from certain institutional sponsored travel locations.  UKPD – Crisis Management & Preparedness  will request crime statistics from each travel location’s responding law enforcement agencies (municipal, county, and state) for the dates and times on which the travel occurred.  Any applicable crime statistics will be provided in the Annual Safety and Security Report and in the annual disclosure to the US Department of Education.

The matrix below is provided to assist you in determining your reporting responsibility.  It is applicable to both domestic and international travel.  It is important to note reportable locations may include both trip accommodations (hotel, etc.) and/or use of academic space if the institution owns or controls (rents or leases) that space.

Keep in mind, if the institution (or contracted third party) does not have an agreement for the space used, the institution is not in control of the space and is not required to report it.  It should also be noted that host family situations do not normally qualify as reportable unless the written agreement with the family for the space gives the institution some significant control over space in the family home.
